Can I set a billing rate for each client?

QBO does not have a billing rate feature to set special pricing for your customers.

One possible workaround is to set up tiers in products and services. They can be coded in levels, 1, 2, 3, for example. Then each product service item is set up with a particular pricing level as sub items. The price level can then be added at the end of the customer name in Display Name As in the customer file in order to see which sub- item to choose when the customer is selected.

This work around isn't for everyone. You might have too many items making the list too massive to deal with or you might have too many different prices.

To create parent items:

  1. Go to the Gear Icon and click Products and Services List.
  2. At the top right, click New.
  3. Enter a price level name, for example, 1. (The shorter, the better.)
  4. From the Account drop down list, select a main income account.
  5. Click Save.

To create sub items:

  1. Go to the Gear Icon and click Products and Services List.
  2. At the top right, click New.
  3. Enter the product service item name.
  4. Enter the rate.
  5. From the Account drop down list, select the income account.
  6. Click to check Is sub-product/service.
  7. Select the parent item from the drop down list.
  8. Click Save.

To code your customers:

  1. Go to the Customers tab and select the customer name from the list and click Edit. .
  2. Enter the price level name at the end of the customer name in the Display Name As box. (Display name as does not show on invoices, sales receipts or credit memos. It does show in reports and drop down lists.)
  3. Click Save.

When you select the customer name while creating a sales transaction, the price level will show indicating which tier to select the sub-item from.
